To reserve your spot sign the Fall Mini Session Contract 2024, and pay 50% of the non-refundable deposit. Use the drop-down menu to select the number of participants (including pets) for the mini photo session. The remaining balance of the non-refundable deposit is due one week before your session. It is an additional $15.45 per adult and pet. You can purchase more photos with your photo delivery.

SCOPE OF WORK

 Mini sessions will be held at Messiah University’s covered bridge on October 5th, 2024. The session fee is $154.50 for up to four participants, including pets. An additional $15.45 will be added for each additional participant (person or pet). A non-refundable retainer of 50% is due at the time of booking, with the remaining balance due one week before the session. Please note that your time slot is not guaranteed until the deposit has been paid.

    Please note that mini sessions do not include images on a USB drive, CD, or other devices. Photos will be delivered through an online gallery.

    NON-REFUNDABLE RETAINER

     A non-refundable retainer, equal to 50% of the total bill, must be paid to the Photographer to reserve your booking. The remaining balance is due before the delivery of the photos. The retainer amounts are as follows:

    • 1 to 4 participants: $77.25 (half) | Total: $154.50
    • 5 participants: $84.97 (half) | Total: $169.95
    • 6 participants: $92.70 (half) | Total: $185.40
    • 7 participants: $100.42 (half) | Total: $200.85
    • 8 participants: $108.15 (half) | Total: $216.30

      REMAINING BALANCE

      Any remaining balance is due before the digital gallery is delivered. If the Client cannot pay the remaining balance, the Client and Photographer will agree on a payment plan, with the session paid in full by December 1, 2024. Overdue payments will incur a 10% administrative fee, which will be added to the next payment.

      CANCELLATION & RESCHEDULING POLICY

      If the Client is unable to attend their booked portrait session, they must notify the Photographer within 24 hours of the scheduled time. The retainer paid to reserve the booking is non-refundable but can be applied toward a rescheduled session or transfer to another party of the client’s choice within one year. If the Photographer is not properly notified, the Photographer reserves the right to refuse future bookings with the Client.

      If weather conditions are unsuitable, the Photographer will reach out one to two days in advance to reschedule. Re-shoots are at the Photographer’s discretion. Re-shoots and refunds will not be given for poor clothing choices, makeup or hair issues, or failure to follow the Photographer’s recommendations.

      LATE ARRIVALS

      It is important to be ready before your assigned time slot due to the nature of back-to-back client shooting. Any Client who arrives late will have the time deducted from their session. A $20 late fee will be added to the final payment for lateness between 2 to 5 minutes. If the Client is more than 10 minutes late, the session will be considered canceled.

      ALTERATIONS & EDITING POLICY

      The Photographer does not allow alterations or changes to the work prepared for the Client by anyone, without written permission. The Photographer will remove minor scrapes that will heal within two weeks but does not perform body modifications (e.g., weight loss, skin removal, hair color changes). The Photographer also does not modify accessories, clothing, etc. Additional editing requests, if agreed upon by the Photographer, will incur an additional charge.

      PERMISSIONS/COPYRIGHTS

      Full ownership of all work created by the Photographer, including but not limited to RAW files, proofs, and previews, remains with the Photographer. The Client has printing rights and may use the work for personal purposes.

      PRIORITY

      The Photographer has priority over other photographers, including guests.

      CLIENT & EQUIPMENT LIABILITY

      The Photographer is not responsible for any injuries. The Client can decline any pose or being in a particular space if they feel uncomfortable. If the Client or their guests damage or steal any equipment, the Client is responsible for replacing it. In the event of equipment malfunction or file corruption, the Photographer is not responsible. A refund will be provided based on the amount of work that can be delivered.

      LIMITATION OF LIABILITY

      In the event of an unexpected natural disaster or personal illness, the Photographer will refer a replacement photographer and provide a full or partial refund.

      DELIVERY

      The Photographer retains full discretion in selecting the photographic materials released to the Client. Specific photos cannot be requested by the Client or their representatives. If a photo is not included, it was deemed unflattering. Delivery of the final images will occur within two to three weeks after the session. Photos will be provided in JPG format, suitable for prints up to 10×15 inches.

      The Client will be notified when the private online gallery is ready. The gallery will expire two weeks after delivery. If the files are not downloaded within this period, a $20 fee will be charged to regain access. The Client must inform the Photographer of any issues with downloading the photos.

      SIGNATURES & MODEL RELEASE

      By signing, you and your party agree to the terms of this contract. You also consent to the use of photos in your likeness for commercial purposes. Please type your signature.

      I grant permission to HLC Art Photography to use images of me for printed or electronic publications, websites, media, advertising, promotion, marketing, and packaging of any products or services. I further agree that my name and identity may be revealed in text or commentary in connection with the image(s). I authorize the use of the images without compensation. All negatives, prints, and digital reproductions are the property of HLC Art Photography. I agree that this release is irrevocable, worldwide, and perpetual. I have read and fully understand the information in this model release. I agree that this model release applies to everyone involved in the session.
